Using Microsoft Internet Faxing with Office applications

    

 

By and large, faxing is one of the preferred methods of transmitting or receiving information. However, many home and offices do not have, or even want, the extra bulk and expense of a separate fax machine.  The fax service offered by Microsoft has removed the necessity of having a dedicated fax machine or even a printer with fax capabilities. A fax can be created and sent using Microsoft Internet Faxing using the Windows operating system and Office applications.

While you can still use Windows to send faxes over phone lines, (as long as the appropriate software and a fax modem are installed), Microsoft Internet Faxing also allows you to use 3rd party fax service providers.  Both methods still require the use of the Microsoft Office Suite Programs (Word, PowerPoint, Excel, Access, and so on). This is invoked by choosing the Send command from the menu (or Send to in earlier versions of Microsoft Office).

Any of the numerous fax services available on the Internet can be used to transmit a fax without using telephone lines.  Naturally, the various Office applications must be installed in order for the Microsoft Internet Faxing system to function properly.  For instance, a document is prepared in Word and then mailed to one of the compatible fax sending services, which then transmits the document to the receiving party as a fax. A handy feature of this system is that the Microsoft Office Document Imaging (MODI) program can be used to preview the fax.  Any document type that can be printed through MODI is supported

Earlier versions of Microsoft Office allow for additional features to be used for both methods. For example, traditional Microsoft Internet Faxing allows a fax to be sent to multiple recipients as a one click process by utilizing the Mail Merge feature in Word. The Fax Wizard also allows for custom creation of a fax cover sheet.  Microsoft Office 2007 now requires you to sign up with an online fax services provider before you can take full advantage of its faxing features.
